TERMS AND CONDITIONS

In this Terms and Conditions policy, The Wellbeing Nutritionist, Sarah Weaver, is also referred to as “Sarah Weaver,” “The Wellbeing Nutritionist,” “Coach,” “Company,” “I,” “me,” “we,” or “us.” The terms “You” and “Your” refer to the user, client, attendee, student, or customer engaging with the services or content provided by The Wellbeing Nutritionist.

1a. Our Services

The services provided by The Wellbeing Nutritionist (Sarah Weaver) are not a substitute for medical attention, diagnosis, therapy, counselling, or treatment. Sarah Weaver is a Holistic Therapist, Health Coach, Reiki Master Teacher and Nutritionist, and does not provide psychotherapy or counselling services. Services may be delivered online, by telephone, in groups, or face-to-face.

1b. Personal Responsibility

You are responsible for your own well-being during and after receiving any services from The Wellbeing Nutritionist, including all decisions and actions you choose to take. Participation in any service provided does not guarantee specific results or outcomes.

For services involving career or business-related topics, The Wellbeing Nutritionist does not guarantee increased clientele, profitability, or business success. Results and outcomes from any of our services may vary between individuals, and therefore, no specific result can be guaranteed.

 

2. Confidentiality and Data Protection

The Wellbeing Nutritionist, Sarah Weaver, treats all personal information as private and confidential, in full accordance with UK GDPR and the Data Protection Act 2018. Your personal information is used exclusively by Sarah Weaver and will not be shared with any third party unless legally required to do so. 3. Booking

Appointments for all services offered are subject to availability and must be scheduled either by contacting us directly or through our online booking system. Please note that we are not responsible for any errors or issues that may arise with bookings made on your behalf.

4. Cancellation Policy ​​​​​

 

1:1 Coaching and therapies

  • Sessions may be rescheduled if at least 48 hours’ notice is given. Requests with less than 48 hours' notice cannot be accommodated.

  • Full payment for 1:1 coaching must be received before the first session.

  • Payments for coaching are non-refundable once sessions have begun.

  • Payments are non-transferable, unless agreed in writing by the Coach.

  • The Coach reserves the right to amend scheduling and payment policies with reasonable notice.

Events and training courses

  • A deposit may be required to secure your place at retreats, events, or training.

  • Deposits are non-refundable.

  • Full payment for events is due one week prior to the event and is non-refundable once paid, unless otherwise stated.

Group Coaching

  • Full payment for group coaching must be received before the first session.

  • No refunds are available once the programme has started, except at the discretion of the Coach.

  • Participants are responsible for attending scheduled sessions. Missed sessions will not be repeated, and no refunds will be issued.

  • Rescheduling of group sessions is not permitted.

Refusal or Termination of Service

  • We reserve the right to refuse or terminate treatment or services in certain circumstances, including:

    • Being under the influence of drugs or alcohol.

    • Withholding relevant information.

    • Inappropriate or sexual behaviour.

    • Posing a risk to the therapist or others.

We may also refuse services if your medical or other conditions affect health, safety, or well-being.

Unexpected Circumstances

  • In the event that The Wellbeing Nutritionist (Sarah Weaver) is unable to provide a service due to unforeseen circumstances, we reserve the right to cancel appointments or events at short notice. A refund will be issued if rescheduling is not possible.

 

5a. Confidentiality

All information shared with us is treated as strictly confidential and will not be disclosed without your explicit consent. However, there are certain exceptions to this confidentiality. If there is a legal obligation to report harm to yourself or others, or if there is suspicion of abuse or illegal activity, Sarah Weaver is legally obligated to report this information.

The commitment to confidentiality applies both to Sarah Weaver and to you, the client, ensuring that all discussions remain private, subject to the exceptions outlined above.

5b. Group Setting Confidentiality

Group coaching or events involve participation by multiple individuals and confidentiality within the group is based on mutual trust and respect. While I commit to maintain confidentiality as described herein, I cannot guarantee the behavior or confidentiality of other participants.

6. Payments
The payment methods we accept include cash, BACS, and third-party payment services including but not exclusive to; Stripe, Eventbrite, and BookRetreats. We do not hold responsibility for any payments made by you in error, or by third party services.

7. Car Parking
Free car parking is usually available, but vehicles are parked at the owner's risk.

​8. Use of Technology

The use of electronic communications, including email, text, telephone, video conferencing, and other technologies, may not be entirely secure. Accordingly, participants acknowledge and accept the inherent risks associated with using these methods.​

 

9. Intellectual Property

All programme materials, resources, manuals, website information, social media posts and session recordings are the intellectual property of the Coach and are provided solely for the personal use of participants. Participants must not reproduce, distribute, or share any such materials, in whole or in part, without the prior written permission of the Coach.

 

10. Photography, Videography, and Session Recording

Group sessions, webinars or online training may be recorded for the benefit of participants. These recordings will not be shared publicly, but may be shared with other participants or customers of The Wellbeing Nutritionist, Sarah Weaver. By participating in the programme, you consent to being recorded and grant The Wellbeing Nutritionist (Sarah Weaver) limited rights to use such recordings solely within the context of the programme, for the purpose of providing educational content and resources to participants. You acknowledge and agree that these recordings may be used for internal purposes and may not be shared outside of the programme without your explicit consent

Photography and Filming at In-Person Events
At in-person events, photography and filming may take place for promotional and marketing purposes. By attending these events, you consent to being photographed or filmed, and grant The Wellbeing Nutritionist, Sarah Weaver, the right to use such images or videos for promotional purposes across various platforms, including but not limited to social media, websites, and marketing materials.

If you do not wish to be photographed or filmed, please inform us in advance so that we can make the necessary arrangements to respect your preferences.

11. Students

As a student participating in any training or educational programme with The Wellbeing Nutritionist, you are responsible for ensuring that you have appropriate professional insurance to cover your practice. This includes any coaching, therapy, or other services provided to clients following your training.

​

You are also responsible for maintaining high professional standards of practice, in accordance with relevant ethical guidelines and regulatory requirements. This includes adhering to the Code of Conduct and Professional Practice as set out by the appropriate professional bodies (e.g., FHT, UKCP) and ensuring that your practice complies with all relevant laws and regulations.

Failure to maintain these standards or to secure proper insurance may result in exclusion from the programme or suspension of services.
