In this Terms and Conditions policy, The Wellbeing Nutritionist, Sarah Weaver, is also referred to as “Sarah Weaver,” “The Wellbeing Nutritionist,” “Coach,” “Company,” “I,” “me,” “we,” or “us.” The terms “You” and “Your” refer to the user, client, attendee, student, or any customer or person engaging with services, products or content provided by The Wellbeing Nutritionist.

Acceptance of Terms
By booking, using, or attending any services, or purchasing or using any products provided by The Wellbeing Nutritionist, you acknowledge that you have read, understood, and accept these Terms & Conditions.

1a. Our Services
The services, products, and content provided by Sarah Weaver, The Wellbeing Nutritionist, are not a substitute for professional medical care, diagnosis, therapy, counseling, or treatment. Sarah Weaver is a qualified Nutritionist, NLP Mindset Coach, Reiki Master Teacher, and Holistic Therapist, and does not provide a substitute for psychotherapy or counseling services. Services may be delivered online, by phone, in groups, or in person.

1b. Personal Responsibility
You are fully responsible for your own health and well-being, actions, decisions, and outcomes during and after receiving any products or services from The Wellbeing Nutritionist. This includes, but is not limited to, all decisions and actions you do or do not choose to take. Participation in any services or the purchase of any products from The Wellbeing Nutritionist does not guarantee specific results or outcomes.
For services involving career or business-related topics, The Wellbeing Nutritionist does not guarantee increased clientele, profitability, or business success. Results and outcomes from any of our services or products may vary between individuals, and therefore, no specific result can be guaranteed.
2. Data Protection GDPR
The Wellbeing Nutritionist, Sarah Weaver, treats all personal information as private and confidential, in full accordance with UK GDPR and the Data Protection Act 2018. Your personal information is used exclusively by The Wellbeing Nutritionist and will not be shared with any third party unless legally required to do so. 3. Booking
Appointments for all services offered are subject to availability and must be scheduled either by contacting us directly or through our online booking system. Please note that we are not responsible for any errors or issues that may arise with bookings made on your behalf.

4. Cancellation Policy ​​​​​
4a. Coaching

Sessions may be rescheduled with at least 48 hours’ notice. Requests with less than 48 hours’ notice cannot be accommodated, and no refund will be given.

Full payment for coaching must be received 14 days before the first session.

Payments are non-refundable once sessions have begun.

Payments are non-transferable, unless agreed in writing by the Coach.

The Coach reserves the right to amend scheduling and payment policies with reasonable notice.

4b. Events and Training Courses

A deposit may be required to secure your place at retreats, events, or training. Deposits are non-refundable.

Full payment for events is due one week prior to the event and is non-refundable once paid, unless otherwise stated.

4c. Group Coaching

Full payment for group coaching must be received 14 days before the first session.

No refunds are available once the programme has started

Participants are responsible for attending scheduled sessions. Missed sessions will not be repeated, and no refunds will be issued.

4d. Refusal or Termination of Service
We reserve the right to refuse or terminate services in certain circumstances, including but not limited to:

Being under the influence of drugs or alcohol

Withholding relevant information

Inappropriate or sexual behavior

Posing a risk to the therapist or others
-
Medical or other conditions affecting health, safety, or well-being

4e. Unexpected Circumstances
In the event that The Wellbeing Nutritionist is unable to provide a service due to unforeseen circumstances, we reserve the right to cancel appointments or events at short notice. A refund will be issued if rescheduling is not possible.
5a. Confidentiality
All information shared with The Wellbeing Nutritionist, Sarah Weaver is treated as strictly confidential and will not be disclosed without your explicit consent, except where legally required, including:

Harm to yourself or others

Suspicion of abuse or neglect

Illegal activity
The commitment to confidentiality applies to both Wellbeing Nutritionist, Sarah Weaver and you, the client, ensuring all discussions remain private, subject to the exceptions above.

5b. Group Setting Confidentiality
Group coaching sessions or events involve participation by multiple individuals. Confidentiality within the group is based on mutual trust and respect. While The Wellbeing Nutritionist, Sarah Weaver commits to maintain confidentiality as described herein, we cannot guarantee the behavior or confidentiality of other participants.
By attending group coaching sessions or any of our events, you acknowledge and accept this risk, and Sarah Weaver cannot be held accountable for any breach of confidentiality made by other participants.

6. Payments
The payment methods we accept include cash, BACS, and third-party payment services including but not exclusive to; Stripe, Eventbrite, and BookRetreats. We do not hold responsibility for any payments made by you in error, or by third party services.

7. Car Parking and Travel
Free car parking is usually available; however, vehicles are parked at the owner’s risk at all times. The Wellbeing Nutritionist is not responsible for any issues related to travel, parking, or transportation. ​​
​8. Use of Technology
The use of electronic communications, including email, text, telephone, video conferencing, and other technologies, may not be entirely secure. By using these methods to communicate with us, you acknowledge and accept the inherent risks associated with electronic communication.
9. Intellectual Property
All materials, resources, manuals, website information, social media posts and session recordings provided by The Wellbeing Nutritionist are the intellectual property of the Coach and are provided solely for the personal use of participants. Participants must not reproduce, distribute, or share any such materials, in whole or in part, without the prior written permission of the Coach.
10. Photography, Videography, and Session Recording
Group sessions, webinars or online training may be recorded for the benefit of participants. These recordings will not be shared publicly, but may be shared with other participants or customers of The Wellbeing Nutritionist, Sarah Weaver. By participating in such, you consent to being recorded and grant The Wellbeing Nutritionist (Sarah Weaver) limited rights to use such recordings solely within the context of the programme, and for the purpose of providing educational content and resources to participants.

Photography and Filming at In-Person Events
At in-person events, photography and filming may take place for promotional and marketing purposes. By attending these events, you consent to being photographed or filmed, and grant The Wellbeing Nutritionist, Sarah Weaver, the right to use such images or videos for promotional purposes across various platforms, including but not limited to social media, websites, and marketing materials.
If you do not wish to be photographed or filmed, please inform us in advance so that we can make the necessary arrangements to respect your preferences.

11. Students
As a student participating in any training or educational programme with The Wellbeing Nutritionist, you are responsible for ensuring that you have appropriate professional insurance to cover your practice.
​
You are also responsible for maintaining high professional standards of practice, in accordance with relevant ethical guidelines and regulatory requirements. This includes adhering to the Code of Conduct and Professional Practice as set out by the appropriate professional bodies (e.g., FHT, UKCP) and ensuring that your practice complies with all relevant laws and regulations.
Failure to maintain these standards or to secure proper insurance may result in exclusion from the programme or suspension of services.
